Customer Support
This page explains the support available for the functionality currently provided by WhatsApp AI Assistant. Some features depend on your plan, account configuration, internet connection, and third-party services.
Email support: support@whatsappaiassistant.com
Getting Started
To use the Service, authorize access and connect an existing WhatsApp account by scanning the QR code or, where offered, using a phone-number pairing code. After the connection is active, the workspace shows your connection status and plan limits.
The available connection methods and number of WhatsApp accounts depend on your current plan and configuration. See the Getting Started guide for the connection entry point, but note that scheduling and general automation-rule features described there are not currently available in the application.
Account & Access
Support may be needed if:
- authorization does not complete;
- a sign-in session expires or repeatedly redirects;
- a connected WhatsApp account becomes disconnected; or
- access is restricted or disabled.
Signing out revokes the application's current access where possible and clears its local sign-in state. It does not unlink the connected device from WhatsApp. Use WhatsApp accounts in the workspace, or WhatsApp's linked-device controls, to disconnect it.
Removing a WhatsApp session deletes that connection and its linked-device credentials. It is not the same as deleting the complete user account or all information associated with it.
Messaging, Templates & Bulk Campaigns
With an active connection and sufficient plan allowance, users can:
- view conversations and message history recorded by the Service;
- start a direct conversation after checking a telephone number;
- send and receive text messages;
- send supported images, video, audio, documents, and polls;
- create, edit, and delete reusable message templates, with media where the plan permits; and
- send a saved template sequentially to a validated list entered manually or imported from a supported spreadsheet or text file.
The workspace displays campaign progress and recorded send failures. Message delivery and connection availability depend on WhatsApp, the recipient, network conditions, plan limits, and other factors outside the Service's control.
The application does not currently provide future-date message scheduling, recurring campaigns, automated follow-up sequences, or configurable inbound rules other than the per-conversation AI auto-reply described below.
AI Auto-Replies & Connected AI Clients
Eligible paid plans may provide an AI auto-reply setting for an individual WhatsApp conversation when the AI service is configured. The feature sends the conversation-specific instructions and a limited set of recent messages to OpenAI to generate a reply, which the Service then attempts to send automatically. AI output may be inaccurate, inappropriate, or incomplete. Users should configure instructions carefully, monitor sent replies, and disable auto-reply when human review is required.
Authorized AI clients may also connect through the Service's OAuth and MCP interface to access the WhatsApp tools granted to them, such as viewing stored message history, checking numbers, sending supported messages, and viewing usage limits. The exact experience depends on the connected client.
When reporting an AI issue, describe the expected behavior, whether auto-reply was enabled, and the approximate time of the event. Share only the minimum message context needed and redact personal or confidential information where possible.
Billing & Plans
The workspace shows the active plan, usage allowances, available plans, and recorded payment history. Where online payments are configured, a user can purchase a paid plan through Razorpay and the Service can activate the plan after payment verification.
The application does not currently provide self-service cancellation, downgrade, refund, invoice-request, or payment-method management. Refund, cancellation, renewal, and invoice policies require business confirmation. Review the Billing Policy for published policy status before making a purchase or request.
Privacy & Data Requests
The Service records information needed to provide the enabled features. Depending on use, this can include account and connection information, WhatsApp telephone numbers and chat identifiers, message content and timestamps, templates and uploaded media, campaign recipients and results, AI instructions and generated replies, usage records, payment identifiers and status, authentication records, and technical or error logs. Authentication cookies and limited device-local preferences or recent-workspace state may also be stored.
Information may be exchanged with WhatsApp to maintain the connection and send or receive messages; with OpenAI when AI auto-reply is used; with Razorpay when online payment is used; and with a remote media host when the user provides a media URL. See the Privacy Policy and Third-Party Services page for additional context. Those pages contain items that still require business or legal confirmation.
The application currently supports deleting individual WhatsApp sessions and message templates. It does not provide a self-service export or complete account-deletion workflow. Do not assume that signing out, disconnecting WhatsApp, or removing a session deletes all account, message, campaign, payment, or log records. The operator must confirm a verified request channel and operational procedure before complete access, export, correction, or deletion requests can be described as available. See the Data Deletion Policy for the current policy status.
Technical Issues
Report errors, failed sends, missing or duplicated conversation entries, media-upload problems, campaign failures, unexpected plan-limit messages, payment-verification problems, or repeated connection failures to support@whatsappaiassistant.com.
Before reporting a connection issue, check that:
- the linked WhatsApp account has internet access;
- the workspace shows an active connection;
- the recipient number includes its country code and is registered on WhatsApp;
- your daily, monthly, feature, or plan allowance has not been reached; and
- a third-party service is not temporarily unavailable.
Security Reports
If you suspect unauthorized access, unlink the device from WhatsApp's linked-device settings and sign out of the Service as appropriate. Report suspected account compromise to support@whatsappaiassistant.com. Do not post vulnerability details publicly or include secrets in an initial report.
The Security page provides additional guidance, but its reporting address is not yet confirmed.
Before Contacting Support
When contacting support, include only what is reasonably necessary to investigate:
- a brief description of what you expected and what happened;
- the affected feature and approximate date, time, and time zone;
- the connection or campaign name, if relevant;
- the last few digits of the affected WhatsApp number, if needed to distinguish connections;
- the exact error text and request identifier, if displayed;
- your browser, device type, and steps to reproduce the issue; and
- a redacted screenshot, if it helps explain the problem.
Do not send passwords, one-time codes, QR codes, API keys, access or refresh tokens, payment-card details, database credentials, private keys, or unredacted confidential conversations.
Support Expectations
No support response-time commitment or service-level agreement is confirmed in the application or current business documentation. We aim to respond as soon as reasonably possible. Investigation and resolution times may vary with the issue and any affected third-party service.
